This is an exciting opportunity at Osum based at our Orion facility in Cold Lake, Alberta. Reporting to the Orion Operations Manager, this position provides administrative support to the Operations Manager to ensure their day to day business is on track and runs smoothly. Discretion handing confidential information is essential. This position thrives by creating order within rapidly changing, dynamic, complex environments. The incumbent is the first point of contact to all visitors and represents Osum in an enthusiastic and professional manner.

Key Accountabilities Include:

  • Provide administrative support to the Operations Manager by managing calendars, e-mail, booking meetings, responding to external inquiries and creating high quality, complex presentations.
  • Welcome visitors and ensure they have signed in/out and completed the site orientation.
  • Answer and direct incoming phone calls, as well manage the security gate.
  • Establish and maintain Site administrative processes and procedures. (Stationery supplies, office equipment, mail, etc.)
  • Manage leased vehicles including scheduling maintenance and assignment of pool vehicles.
  • Prepare expense accounts, mileage logs and making travel arrangements – including coordination flights, vehicle arrangements, and hotel bookings.
  • Manage all logistical aspects of meetings, company and project related events such as scheduling, catering, producing and ordering materials, and assist with special events.
  • Proven ability to take meeting minutes with an understanding of what information is relevant to capture.
  • Ensure filing systems are maintained and up-to-date.
  • Liaise with Calgary office, other agencies, organizations and groups.

Qualifications Include:

  • Post-secondary degree or diploma with a focus on Administration, Business or similar.
  • 5+ years of relevant experience in an administrative role.
  • Demonstrated ability to act with trustworthiness, confidentiality and professionalism.
  • Excellent time management with the ability to prioritize work.
  • Superior organizational skills specifically around calendar management, scheduling, ability to organize, plan, and schedule activities.
  • Attention to detail and problem solving skills.
  • Advanced proficiency in Microsoft Office (i.e. Outlook, Word, Excel, PowerPoint, etc.) and standard office equipment including phone, fax, photocopier and printer.
  • Ability to maintain composure during stressful situations.
  • Demonstrated ability to work in a team environment keeping others informed and anticipating needs.
  • Strong written and verbal communication skills.
